Dental Program Administrative Coordinator

Health Alliance for Austin Musicians (HAAM) is currently seeking an energetic, highly organized, personable individual to provide member navigation and administrative support within HAAM’s Dental Program. The HAAM Dental Administrative Lead will support HAAM’s Member Services department with the responsibility of executing key functions of The HAAM Dental Program including member/provider referral coordination, authorizations, tracking of claims, data entry and database maintenance, reconciling billing, accounts receivable and payable.  The HAAM Dental Program Administrative Coordinator’s work will result in the fundamental execution of our mission; helping members obtain dental care, access resources, develop community awareness, and engage with our organization. 

Position details:

  • Full time (40 hours a week), non-exempt. Most hours will fall Monday-Friday during the 9am and 5pm timeframe, however, infrequent evening and weekend work will be required as needed for community engagement events.

  • Work will be based in the HAAM office at 3010 South Lamar Blvd., Suite 200 

  • Position sits within the Member Services department.

Position requirements:

  • Strong personal alignment with, and a commitment to, HAAM’s mission

  • 2+ years experience in customer service, program support, social services programming, healthcare setting, administrative support, and/or navigation (preferred dental office experience)

  • Can-do spirit and a natural ability to build positive relationships quickly

  • A self-starter who embraces new challenges and is internally motivated to succeed

  • Strong communication skills, both in-person and through email

  • Comfortable with and skilled in:

    • Troubleshooting challenges and coming to responsible solutions

    • Balancing multiple deadlines and projects simultaneously to deliver high quality work

    • Strong attention to detail

    • Working as a part of a team

    • Working with diverse populations

    • Representing HAAM in the community

  • Reliable transportation

  • Other duties as assigned

Preferred qualifications:

  • Dental office administrative experience

  • Experience facilitating communication with many groups of stakeholders 

  • Bilingual in Spanish 

  • Knowledge of dental healthcare billing, local resources, and eligibility

About Health Alliance for Austin Musicians 

The mission of the Health Alliance for Austin Musicians is to provide access to affordable healthcare to Austin’s low-income, underinsured working musicians with a focus on prevention and wellness. Since our founding in 2005, HAAM has helped more than 5,300 musicians’ access over $73 million dollars in healthcare services, including primary and specialty care, dental, vision, hearing and mental health services.

 

What You Will Do

As an Associate with Ascension Seton, you will have the opportunity to coordinate and/or lead assigned program(s).

Highlighted position responsibilities: 

  • Member Navigation 

    • Assess needs, route members internally and externally where appropriate

    • Coordinate with community partners regarding member referral and billing needs

    • Provide authorization coordination between members and providers

  • Admin/Support

    • Administrative support for Member Services department

    • Primary point of contact for HAAM’s 80+ Dental Providers

    • Bookkeeping, accounts payable/receivable 

    • Financial Reporting

    • Proficient in the use of Microsoft Excel, FileMaker Pro, Office 365, RedCap, Google Suite, QuickBooks, Salesforce

    • Database maintenance 

    • Report writing

  • Enrollment and Eligibility 

    • Lead role during annual ACA Open Enrollment

What You Will Need

Education:

  • Diploma 
    • High school diploma or GED required

Work Experience:

  • None required.
